This Privacy Policy describes how Meridian South CPA, Inc. (“Meridian South,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with our website and services. Your use of our website does not create a tax, accounting, or attorney–client relationship, and nothing on this site constitutes tax, accounting, or legal advice.
1. Who We Are
Meridian South CPA, Inc. is a certified public accounting firm that focuses on registered agent coordination, entity management, and related state business compliance services, in coordination with third-party service providers. Our principal office is located in Tennessee, and we coordinate registered agent and related services for entities across multiple U.S. jurisdictions.
As a CPA firm, we are subject to the American Institute of Certified Public Accountants (AICPA) Code of Professional Conduct, including rules on confidentiality and safeguarding client information.
2. Information We Collect
The information we collect depends on how you interact with us and which services you use. Generally, we may collect:

-
Business and entity information: Entity names, jurisdictions of formation or qualification, registered office address, officer/manager/member details, and other corporate data you provide for coordination and filing services.
-
Account and portal information: Information you submit through our client portal (such as the Moxo portal) or similar platforms, including documents, approvals, and communication history.
-
Payment information: Payment details (such as card information) used to pay our professional fees and related charges. Payment card data is processed and stored by our third-party payment processor (for example, Stripe); Meridian South does not store full card numbers on its own systems.

-
Technical and usage information: IP address, browser type, device identifiers, pages viewed, and similar data, collected via cookies, pixels, or similar technologies where in use on our website.
You generally control how much information you provide, but some information is required for us and our third-party providers to deliver services.
3. How We Use Your Information
We use your information for purposes such as:
-
Providing and managing our services, including registered agent coordination, entity compliance filings, and related business compliance services.
-
Coordinating services with third-party providers (for example, Computershare and other registered agent or filing services, client portal providers, and payment processors).
-
Communicating with you about your entities, filings, notices, service of process, invoices, renewals, and engagement status.
-
Processing payments for our fees and any government or third-party charges that you authorize us or our providers to collect.

-
Complying with legal, regulatory, and professional obligations, including AICPA professional standards.
We may also use de-identified or aggregated information for analytics and service improvement without identifying you or your entities.
4. Our Relationship with Third‑Party Providers (Including Computershare)
Meridian South coordinates registered agent and certain corporate filing services through third-party providers, including Computershare Entity Solutions, Inc. and its affiliates, as well as technology and payment vendors.
-
Registered agent and filing providers: Computershare and similar providers act as registered agent of record and perform certain operational aspects of corporate filings. We share only the information reasonably necessary for them to perform their services, and their use of your information is governed by their own privacy statements and service terms.
-
Client portal and communication platforms: We use secure online platforms (such as the Moxo portal) to collect information from you, deliver documents and alerts, and obtain authorizations. These platforms may process and store your data under their own terms and privacy policies.
-
Payment processors: When you pay for services, your payment information is processed by a third-party payment processor (such as Stripe), which stores and uses your payment information according to its own security and privacy practices.
We expect these providers to maintain appropriate confidentiality and security controls and to use your information only for the purposes for which it was shared or as required by law.
5. How We Share Information
We may share your information in the following circumstances:
-
Service providers and vendors: With registered agent and corporate filing providers, client portal providers, payment processors, IT and security vendors, and other service providers who assist us in delivering our services and operating our business.
-
Affiliated and professional advisors: With affiliated entities and professional advisors (such as attorneys or other consultants engaged by us or by you) where reasonably necessary to support the services and subject to confidentiality obligations.
-
Government agencies and regulators: With Secretaries of State and other government authorities as necessary to complete filings, respond to inquiries, or comply with law, regulation, or legal process.
-
Other disclosures required or permitted by law: When we believe disclosure is appropriate to protect our rights, your safety or the safety of others, investigate fraud, or respond to a court order, subpoena, or similar request.
We do not sell your personal information or disclose it for unsolicited third‑party marketing.
6. Payments and Stored Payment Information
When you pay for services through our portal or payment link:
-
Your payment card details are transmitted directly to our payment processor and may be stored by that processor to support recurring or future charges that you authorize.
-
Meridian South may retain limited payment-related information (such as the last four digits of a card, transaction dates, invoice amounts, and associated entities) for billing, reconciliation, accounting, and audit purposes, consistent with applicable law and professional requirements.
If a payment is declined or not processed, your services or filings may be delayed or suspended until payment issues are resolved.

We maintain administrative, technical, and physical safeguards designed to protect the confidentiality and security of the information we hold and to help prevent unauthorized access, use, or disclosure. These measures may include encryption in transit where feasible, access controls, authentication procedures, and periodic review of security practices.
Despite our efforts, no method of transmission or storage is completely secure. You are responsible for keeping your login credentials, portal access details, and passwords confidential and for notifying us promptly if you suspect any unauthorized access to your account or documents.
9. Confidentiality and AICPA Standards

Required or permitted by law, regulation, court order, or government request.
-
Required to comply with professional or ethical obligations or to protect our rights or the rights and safety of others.
We do not provide legal services, and our coordination with Computershare or other providers does not constitute legal advice.
10. Your Choices and Responsibilities
You may choose what information to provide to us, but certain information is necessary for us and our third-party providers to deliver services and complete filings. You are responsible for:
-
Providing accurate, complete, and current information about your entities and designated contacts.

Updating us promptly if your information changes (for example, contact details, officers, managers, or addresses).

To the extent such rights apply to you under Tennessee law or other U.S. state or international privacy regimes, we will handle your request in accordance with applicable law and, where we act as a service provider/processor to a client, in coordination with that client’s obligations. If you wish to exercise any such rights, please contact us as described below.

-
Provide services under our engagement letters and agreements.
-
Maintain records required by law, regulation, or professional standards.
-
Resolve disputes, enforce our agreements, and support our legitimate business purposes.
